Quick answers to the questions we get most often, covering compliance, methodology, pricing and getting started.
Getting Started
How do I get started with CarbonTrack?▾
The easiest way is to email seyi@usecarbontrack.co.uk with your existing travel spreadsheet, however messy. We process it and return a full DEFRA-aligned audit report within 24 hours. Free. No account needed. You see the output before committing to anything.
What format does my data need to be in?▾
Any format. Seriously. Excel, CSV, PDF, even a list in a Word document. We've processed everything from tidy expense exports to multi-tab spreadsheets built by different people over five years. The whole point is that you don't have to clean it first. Send it as-is.
How long does the free report take?▾
We aim to return your full audit report within 24 hours of receiving your data. For most datasets this is faster, often same day. If your dataset is unusually large or complex we'll let you know an ETA when we receive it.
Do I need to sign up for an account to get the free report?▾
No. Just email your spreadsheet. No forms, no sign-up flow, no credit card. You get the report. Then decide whether CarbonTrack is worth £150/month for ongoing use.
Pricing & Plans
What does £150/month include?▾
Full platform access. Unlimited trip logging. Category 6 business travel and Category 7 employee commuting. Real-time dashboard. PDF and Excel export with full formula trails. SECR and PPN 06/21 aligned reports. Multi-user tracking. Priority support directly from Seyi. No hidden fees, no per-user charges, no export limits.
What does "locked in forever" mean?▾
Founding Members pay £150/month permanently, regardless of any future price increases. When CarbonTrack raises its prices for new customers (which it will, as features expand and the Pro tier launches), founding members keep their original rate. It never goes up. This is the core benefit of joining early.
Is there a contract or minimum term?▾
No long-term contract. Monthly subscription, cancel anytime. We believe the product should keep you, not the contract. If you cancel, your data is available for export for 30 days before deletion.
Will there be a price increase when the Pro tier launches?▾
The Pro tier will launch at £499/month and include additional features including the audit integrity suite, bulk CSV import, anomaly detection, radiative forcing toggle, and CSRD-formatted export. Founding members at £150/month will have the option to upgrade. Their £150 rate is not affected if they stay on the founding tier.
Compliance & Methodology
Which DEFRA factors does CarbonTrack use?▾
CarbonTrack uses DEFRA 2025/26 Greenhouse Gas Conversion Factors, the current UK government standard. All relevant factors are pre-loaded in the database and applied automatically. The specific DEFRA table and row is referenced on every single trip calculation. Factors are updated annually when DEFRA publishes new values.
Why does CarbonTrack use Haversine for flights instead of Google Maps?▾
DEFRA specifies that flight distances should be calculated using the Great Circle method, the shortest path between two points on a sphere, which approximates actual flight paths. Google Maps calculates road distances, which are irrelevant for flights. Using Google Maps for flights is a methodology error that would not pass auditor scrutiny. CarbonTrack uses the Haversine formula with IATA airport coordinates, exactly as DEFRA specifies.
Does CarbonTrack satisfy SECR requirements?▾
Yes. CarbonTrack outputs Scope 3 Category 6 and Category 7 data in the format required for SECR (Streamlined Energy and Carbon Reporting). The export includes total tCO2e, breakdown by transport mode, year-on-year comparison, and the methodology documentation required for the Directors' Report. If you're unsure whether SECR applies to your organisation, email us.
Does the output meet PPN 06/21 requirements for government tenders?▾
Yes. PPN 06/21 requires a Carbon Reduction Plan including Scope 3 Category 6 travel emissions for contracts above £5 million. CarbonTrack calculates your Category 6 data to DEFRA standards and exports a Carbon Reduction Plan template pre-populated with your numbers. The calculation trail satisfies government assessor requirements.
Can the output be used for third-party assurance?▾
Yes. The full methodology trail (distance calculation method, DEFRA factor applied, source reference, formula and result) is available per trip. This is the level of documentation required for third-party assurance of Scope 3 data. For assurance-grade status, we recommend also attaching booking references to each trip (supported in the platform).
Data & Security
What happens to my data?▾
Your data is used solely to provide the CarbonTrack service. It is never sold, shared, or used for any other purpose. Employee home addresses (used for commute distance calculations) are anonymised. Only distance bands are stored, not addresses. All data is processed in accordance with UK GDPR and the Data Protection Act 2018.
How are employee home addresses handled for Category 7?▾
Home addresses are PII (Personally Identifiable Information) and handled with care. Postcodes are used only to calculate the distance to the office. The distance is stored, not the postcode or address. The employer dashboard shows aggregated commuting emissions data only. Individual employee addresses are never visible to managers in the platform.
Can I export all my data if I leave?▾
Yes. You own your data. You can export everything. All trip records, all calculations, all audit trails, at any time. If you cancel, your data remains available for export for 30 days before deletion. Nothing is locked in.
For Consultants
How does the consultant partner programme work?▾
You apply for a founding partner spot, sign the Partner Licence Agreement, and get access to the multi-client dashboard. For every client you introduce who subscribes, you earn £150 commission paid within 14 days. You also get free quarterly PoC processing. Submit a client's travel spreadsheet, we return a full report within 24 hours. Free. Full details on the partners page.
Can I present CarbonTrack as my own platform to clients?▾
White-label capabilities are on the roadmap. Currently, founding partners may present CarbonTrack as their recommended platform and reference their partner status. Full white-label branding (your logo, your domain) will be available on the Pro and Enterprise tiers. Email to discuss your specific situation.
How many founding partner spots are left?▾
There are 20 founding partner spots total. The founding rate and commission structure is available to these 20 consultants permanently. Once filled, new partners join at standard rates. Apply on the partners page or email directly to check current availability.
